Registration Updates

October 5

Compass SIS Update

The implementation of the new Student Information System transcript has revealed new holds placed on students records that are being used to finalize their transcripts prior to printing. These holds have been created and placed to allow us to appropriately manage the release of transcripts. The definitions of these holds are provided below for your information. We apologize that we have not provided this information earlier and hope this will assist with your understanding of how we are managing this process.

RC3 This hold is placed on students who may need to have data on their transcript updated after the conversion to the new Student Information System. If a student has one of these holds, neither the student nor an academic advisor can view the academic record and a transcript cannot be ordered reviewed and updated if needed. The language of the hold advises the student to contact the Office of the University Registrar (OUR). When they do that, this will initiate a review of the record, allowing any needed updates to be made before the hold is released and the record is available for viewing and for a transcript to be ordered. There are approximately 200 currently registered (Fall 2018) graduate, undergraduate and professional students who currently have this hold.

RC4 - This for internal OUR processing only and is not visible to students or advisors. It will not stop any action. This is a trigger to alert OUR staff that before a transcript is released, the record should be verified against the mainframe system. After the data is checked, the hold is released and transcripts for this can be produced.

August 13

Compass SIS Update

Course Swap is now live within ONE.UF (http://one.uf.edu)! Using this all-new function, students can make a 1:1 instantaneous swap of courses, without having to drop a class in order to search for another.

Students can make unlimited swaps, one course at a time. If there is an error with the course they are adding, the drop will not be processed either.

Once a swap transaction is complete, students will see the change immediately reflected in their schedules and tuition statements.

Compass SIS Update

Academic advisors interested in attending a hands-on student reporting workshop using Enterprise Analytics may register for two upcoming sessions.

These workshops will be hosted August 1st and 7th from 9 a.m. 11:30 a.m in 119 HR Building.

A student group field has been added as a searchable field on the student information system search. Please note that another value, other than Student Group, needs to be entered to perform a Student Group search. i.e., Student Group of UFO and Last Name of % (% is a wildcard value) will return all UFO students.

Compass SIS Update

For those who update students Program/Plans: In Campus Solutions Summer is one term (not broken down between Summer A, Summer B and Summer C). Therefore, students beginning Summer B will have an Admit Term of 21X5 (not 21X6). Originally, when a Program Change was done for a student (Change of College as well as Major/Plan or PRGC/CMAJ), the Requirement Term (Catalog Year) was then set to their Admit Term. This effectively changed their Requirement Term/Catalog Year to the previous catalog year.

To assure the correct requirement term is maintained when changes are made to a students Program/Plan we have modified how this process works. When using the PRGC/CMAJ action reason and selecting a new program for a student, the admit and requirement term will now not change. The program admit and requirement terms will be the same values on the stack as before. If a student needs a new requirement term associated with the new program, the new value will have to be entered as part of the PRGC/CMAJ action.

As part of the effort to help correct Summer B and IA admits requirement terms, a list is being created that lists students in each college with a current requirement term different from their first requirement term. Each college will receive a list of their students to review. We will reset all requirement terms found on these lists only at the colleges request. Some colleges may prefer to manually evaluate the list and reset requirement terms manually. Thanks to Dean Spillane and Lynn OSickey for helping identify the need for these modifications.

Please be aware that quarterly Campus Solution upgrades could remove your personalizations. Compass SIS Update

A new Enterprise Analytics report, Department View Schedule of Classes, is now available for viewing class information for Fall 2018 and beyond (once they are created). This report is available by accessing Enterprise Analytics (https://reporting.it.ufl.edu) and then navigating from the left side of the screen to Team Content Student Information Schedule of Courses Department View Schedule of Classes

The data in the report closely replicates the current Schedule of Courses report with a few exceptions/additions:

Class Number has been added; this is a new unique identifier that is very similar in function to the current Section number

Period has been replaced with Time and Meeting Pattern columns. The meeting pattern column will be blank for Fall 2018 but will begin to contain meaningful data with the Spring 2019 Schedule of Classes (once created).

A column for Class Status has been added. This clearly identifies active classes vs cancelled classes should you choose to search for all classes on the prompt page.

The class status prompt will default to Active (meaning all active sections). You can choose any combination of statuses, but must choose at least one. The additional options are Cancelled, Stop Enrl (this is a step short of cancelling; no new enrollment can be processed, but those that are enrolled do not lose their seats) and Tentative (will not show up in the schedule to students and students also cannot enroll).

Note that departmentally controlled sections are bolded and highlighted blue.

Compass SIS Update

We are pleased to announce that Summer A/B/C in progress enrollment has been moved into the new SIS. This will benefit staff and students when a summer course is being taken that is a prerequisite for a fall course. The registration system will automatically recognize this as satisfying the prerequisite.

There was also a refresh of Spring enrollment data which included moving spring grades into Campus Solutions.

A change to the ONE.UF schedule of courses is being applied tonight to re-enable the ability to search for courses meeting multiple General Education Requirements.

The project team has added a guide to the myUFL Basics toolkit that outlines shortcuts, access keys, and hot keys in myUFL.

Registration Update April 20

Thanks to campus feedback, we found an easier way to navigate back to the main page of the Enrollment Capacity Report (similar to the previous course/section summary). Clicking the run button (which is highlighted below) returns you to the first page.

Many of the Campus Solutions pages allow you to personalize your view. An example of personalizing the Audit Service Indicators page is below.

First, expand your view by clicking the Show all columns link. Then click Personalize'. Then select your column and sort order.

We have had a request from campus to add user name, instead of the ID, to the audit service indicator page. This has been added to the list of items that are being reviewed.

We have removed restricted access for most courses.

We have added a Table of Contents page to assist in FAQ page navigation. We will be continuing to add additional content to this page.

Registration Update April 19 #2

The department consent page no longer has default settings that could cause unintended actions. This has been resolved.

We have new information which indicates that the fix we reported yesterday for course searches for student groups no longer displaying open seats is not yet in production. This is a two-step process that is in the process of being completed.

Campus had some questions about the Enrollment Report and the information that is being returned. The project team is looking into this.

Currently you arent able to return to the original request screen for the Enrollment Capacity Report. This is a known issue and is being worked on. For now, go back and click on the link in the email.

Campus asked when course sections special attributes (i.e., international, off-book, special program, etc.) data will be available. This information will available in Release 5A which is May 11.

Currently rotating topics are not being carried over to degree audit. This is being worked on and will be updated soon.

Tips and Tricks:

If you double Click the Academics tab in Student Services Center it will take you back to the search screen where you enter in the UFID.

You can save frequently visited pages by clicking on the gear and adding to the NavBar or to Favorites.

Make sure you double click the UFID to highlight the entire number before copying it to use on another screen.

Registration Update April 19

We are pleased to announce that an enrollment capacity summary has been created to assist in replicating course/section summary data.

The report to display enrollment capacity, reserved seats and total enrollments by class section is now available in production at the following URL: https://reporting.it.ufl.edu/ibmcognos/bi/?pathRef=.public_folders%2FStudent+Information%2FSchedule+of+Courses%2FEnrollment+Capacity+Report&format=HTML&Download=false&prompt=true. You can also navigate to this report from within Enterprise Analytics (https://reporting.it.ufl.edu/) by going to Team Content Student Information Schedule of Courses Enrollment Capacity Report.

Chrome is the preferred browser for Cognos. Other browsers may not function appropriately.

A few notes about using the report:

The required prompt of Term has been pre-populated with Fall 2018. Currently, only Fall 2018 data are populated.

Additional optional prompts of Academic Group (College), Course Number, Class Number and Class Section are available. Note that the prompts act as an and, not an or, so additional prompt selections will narrow down your result.

o Academic Group (College) provides a dropdown box for your selection.

o If you wish to select Course Number, Class Number or Class Section, enter these data in the appropriate field and select the magnifying glass (or press Enter). Once your selection appears, click on the appropriate box(es), then click on the right arrow. An example is below.

Select Finish when you have completed selection of your prompts.

The report will open in the same window.

The page down button at the bottom of the screen should be used to move to the next page to see additional results.

o You can export to excel in two ways (note: you will need to re-enter your selected prompts when exporting to Excel):

o The first (Run Excel) will keep the formatting of the report, including merged cells. You should not use this if you like to use Excel filters for sorting.

o The second (Run Excel data) will duplicate the repeated data (course, subject, catalog nbr, etc.) so you can leverage Excel filtering and sorting more effectively.

Departmentally controlled seats are not excluded from seats available as in the past. If you would like to remove these seats from your seats available total, you need to subtract them through Excel.

Duplicated rows of data will display if the class number (section) has more than one meeting time pattern (i.e., Tuesday 8:30-9:20 and Thursday 10:40-12:35). In these type of sections the data are duplicated. Please adjust accordingly.

Further reports are in development which will provide an unduplicated course level summary.

Campus staff reported that when they click on the link titled Details from the Student Center tab within the Advisee Student Center they receive an error message that states You are not authorized to access this component. (40, 20). This has been resolved.

Tweaks have been made to the prerequisites that include a wildcard component that will allow more granular assessment of students requirements.

Campus staff notified us that the department consent page has default settings that could cause unintended actions. We are working to remove the defaults so all intended actions must be selected by the user.

Course searches for sections reserved for specific student groups (i.e. IA and UF Online) no longer display open seats.

Tips and Tricks

Enrollment Requirement Groups Inputting a subject area and catalog number (i.e., ENC 1101) that has no prerequisite provides a response of No matching values were found. This means there is no prerequisite in Campus Solutions for this course.

While navigating through the system if there are two choices and one includes Student, select the non-Student version. (i.e., Service Indicators, Service Indicators (Student)).

After selecting a tab, return to the previous page by clicking OK or Cancel to go back.

User defaults for Academic Career and Academic Institution can be set at Set Up SACR ? User Defaults, User Defaults 1. (i.e., setting Academic Career to UGRD).

SIS>Records and Enrollment>Enroll Students>Enrollment Request provides you with detailed information on the students registration requests.

To register a student for a variable credit class go to Quick Enroll, click the Units and Grade tab, then enter the number of units.

Registration Update April 17

The service indicator reason has been added to the service indicators section of the student services center.

Based on student feedback, its important to remind colleges and departments, if you cancel a section with student enrollment its your responsibility to notify the student that the section has been cancelled. Please remember to pull the class roster before you cancel the section as the class roster will not be there after cancellation.

We have learned that when a default subject is entered as a users default, the subject is being used in all searches even if another subject is entered. We have updated the system to allow overriding of the default subject when doing a search. If no subject is entered, the default subject will be used in the search.

The process of moving non-FTIC admits, including readmits, into Campus Solutions has begun. Once all of the students are merged we will activate them and assign appointments.

We have verified that a students earned credit through AP or IB will not be subject to the repeat policy, therefore students will still be able to register for a course for which they have earned credit. If the department registers the student they will receive the following warning message, but it does not prohibit registration. Course previously taken and may be subject to institutional repeat policy. When graded, this course may be subject to the Institutions Repeat rules. It should be verified that this course will apply toward the course of study.

The rate of registration has slowed, we have reached the end of the assigned appointment time. The advance registration period continues through Friday. Students will continue to register throughout the summer for the fall term.

We continue to hear from students who are frustrated about closed courses.

The prerequisite view in Campus Solutions has been updated to display number of credits and grade requirements. This is a tab on the enrollment requisite group view, SIS > Curriculum Management > Enrollment Requirements > Enrollment Requirement Groups > Requisite Detail.

Registration Update April 16

The project team has removed the message Maximum number of record found matching specified key(s) others not included in list from the class search page.

We are currently researching options relative to limiting the number of terms listed in the Term drop down menu on the class search page.

A search for a departmentally controlled class number in ONE.UF currently renders the message There are no classes for this course that meet your criteria. This message has not been helpful to students. We are engaging in research and discussions to determine options for improvement.

We have been informed by the campus that student course searches are displaying open seats for sections reserved for specific student groups (i.e. IA and UF Online). The project team is working to implement the same adjustment used to mask Preview open seats.

The loading of Summer Term course registrations into Campus Solutions is continuing to be tested by the project team. We will provide updates on the timing of implementation as they become available.

We have continued to work with the project team on eliminating unnecessary immunization service indicators. We believe they are now working as designed.

Departmental personnel successfully adding a student to a writing requirement section will see the following message: The Requirement Designation Options was set to YES by the enrollment process. This message confirms that the section is a writing requirement section.

It has been requested that SAT/ACT scores be added to the prerequisites for English courses. This was completed today.

A query is being written to monitor registrations into Innovation Academy sections.

A prerequisite checker function, similar to what exists in the current system, has been requested for the new system. We are researching possible options.

A waitlist function has been requested for the new system. This option is being researched.

A question was raised as to who has access to remove fall holds for Innovation Academy students. We have verified this access is currently limited to those members of the Innovation Academy team who have that authority in the prior system.

The project team is continuing to work on a query to provide data similar to the current course/section summary. We hope to have this available soon.

The transfer equivalency system will be released in one of the future releases of the system. Once it is released it should reduce the number of the prerequisite questions we are currently receiving.

Registration Update - April 13 - #2

Restriction of registration of Innovation Academy Students in the Fall is still being researched. We have been reminded by some campus partners that registration needs to remain open to authorized departments and colleges. That capability will be a part of the consideration of options.

The compass project team is working overtime to create reports that will provide course and enrollment counts per class including reserve capacity calculations.

Advanced Registration appointments end Tuesday, April 17.

We have just learned that in some cases the message returned for a departmentally controlled section is There are no classes for this course that meet your criteria. We are researching the derivation of this message and potential options for improving it.

Registration update April 13

Thank you for your superlative work to help improve the registration experience for students and staff. We very much appreciate all of your suggestions and inquiries.

As you may be aware, your ability to override section enrollment caps was removed because departments were consuming seats reserved for Preview Orientation through the override process. This was a short term change until we could determine a longer term approach. We now have a process which allows monitoring of these overrides and the individual that does the override. I have attached a list of all sections in which Preview seats are held. This is being provided for your reference so you are aware of which section caps are not to be overridden. If you believe you have a need to override the cap of one of these sections you must contact Lynn OSickey at losickey@advising.ufl.edu to alert her of your need. As of this writing the override capability has been reinstated.

The department consent feature is NOW AVAILABLE. This will allow departments to give consent to students for prerequisites at the course level as well as for departmentally controlled classes. Security has been added for this feature to those with existing enrollment roles. Training is below.

The intermittent duplicate IDs on class rosters has been resolved.

The issue where students were receiving a message indicating a section was closed even though the search showed available seats has been resolved. The attached email was sent to all undergraduate students this afternoon.

We are working on creating a page of department information to be used for the Fall Schedule of Courses. The Summer Schedule of Courses does have this information.

All staff with the role of UF_SR_CRSE_CATALOG_PUBLIC_VIEW should now be able to view the crosswalk between the section number and class number. Attached is a document that should assist in downloading this report. This is available in myUFL using the following navigation. The project team is working on loading summer course registrations into Campus Solutions. This will allow Campus Solutions to use these courses as prerequisites for students fall courses. They hope to have the data loaded early next week which will eliminate the need for departments to register students for these fall courses.

Campus staff requested to be able to see Innovation Academy, UF Online and PaCE students at the top of the degree audit. This is being worked on and the hope is it will be configured and available early next week.

It was reported that block enrollment was not working. We believe there was a security issue earlier in the week that caused this. That has been resolved. Please let us know if you are not able to block enroll students.

Registration update April 12

The release date for Release 5a has changed from May 14 to May 11.

The ability for campus departments and colleges to override section caps has been removed. This was done because there appeared to be a lack of clarity about which sections were appropriate to force students into. This ability will be re-activated once we have determined a way to prevent these overrides from compromising the Preview seat reservation process. If you need to force a student into a section, please email compassquestions@registrar.ufl.edu and OUR staff will force students in for you, unless the force would consume Preview reserved seats.

Colleges have stressed the need for summer data to be in the system to be used for fall prerequisites. We are researching options that might allow this to happen.

There have been some issues with PaCE holds displaying in the legacy system, but not in Campus Solutions. We are currently researching options to determine how to address this.

ONE.UF does not display an add button for a section returned from a search request if there are no seats available. We are working add the following text when this condition occurs: Seats Remaining: 0

There have been requests for colleges and departments to be provided the ability to view all colleges class rolls. This is being researched to options for providing this ability.

Students have not had the ability to view restricted access criteria for a section. This capability has now been implemented.

The system currently allows departments to enroll Innovation Academy students in Fall courses. Please do not use this ability unless its for a student that will no longer be in Innovation Academy for the fall semester. We are researching options to restrict this capability.

The legacy dropped courses screen will remain active until Release 7.

The closed section message presented to students when they attempt to register for a closed section which has seats reserved for other student cohorts has been updated to simply indicate the section is closed. The search information returned for these sections does indicate that the section has seats available even though all of the seats are reserved. We are researching options to not show that seats are reserved.

It has been requested that a report displaying remaining seats in all sections of a course be provided. We are researching options to provide such a view.

Registration update April 11

After completing Tuesdays daily call it was determined there were technical difficulties with the audio resulting in the call not being recorded. We apologize for this inconvenience. We have listed all of the items below that were reviewed on the call.

A link has been added to the ONE.UF search view to a document displaying General Education Courses that meet multiple general education requirements. It is also available via the Registrars web site at https://registrar.ufl.edu/gened.

Text has been added to ONE.UF to notify students that it may take 15 minutes for their hold(s) to clear before they can register for summer.

The closed section message displaying information about reserved seats has now been updated to reflect only that the section is closed. We are researching options to determine if the display behind the message, which shows reserved seats are available, can be removed.

The staff view of class rolls displays all department sections. The instructor view of class rolls (in ONE.UF) displays only sections the instructor is teaching. Below are training PDFs which provide additional information.

The class search navigation displays a pop up window with a message that says Maximum number of record found matching specified key(s) others not included in list. We have been asked to remove this message and are researching what options might be available to do so.

There have been some instances where browsers other than Firefox have rendered anomalous class roll views in ONE.UF that we have been able to replicate. The technical team is working to resolve this issue.

A view displaying how many seats are reserved in each section will be available with Release 5A, May 14.

It was reported that Special Topics courses do not display each sections unique title. The project team was already working on options to resolve this. We will provide you an update once we have more information on options.

A former request to provide additional test IDs for training has been mentioned again. We are still researching options relative to this request.

We are attempting to address the pre-requisite course equivalency issue by determining whether we can include equivalent courses as part of the prerequisite coding and monitoring. The design of the system is to use the equivalency function of the myUFL SIS to interface with the pre-requisite monitoring component. It is hoped that this capability can be activated in the future. Once activated it will provide immense benefits in managing pre-requisites.

Release 7 will include a view of the number of remaining drops for each student.

In the new system if a student changes sections of a course (that isnt multi reg) the student must first drop the existing section before adding the new section. We are looking for ways to communicate with students about this change, possibly in ONE.UF.

Overriding the repeat course restriction must be overridden prior to a student being allowed to repeat a course. Colleges may email the compass questions team to ask that the repeat restriction be overridden. Once this is done the student or the department will be able to re-register the student in the course.

We are pleased to announce expanded myUFL search capabilities are now available to the university community. The new search capabilities will enable you to identify students more quickly by displaying additional information. The navigation is Main Menu > Student Information System > SIS Search. We are continuing to manually update the Fall Schedule of Courses and are up to date as of today. This process will continue daily.

Modular calendars have been added to Campus Solutions which will allow students to register for modular courses without department involvement.

The process to synchronize holds in the current system with the myUFL SIS system has been updated to run every 5 minutes (previously every 15 minutes).

The project team is researching the possibility of loading summer course registrations into Campus Solutions. This will allow Campus Solutions to use these courses as prerequisites for students fall courses. This will alleviate the need for departments to manually register students for these fall courses.

Students are seeing the following message when there are no seats available in a section which has seats reserved. Available seats are reserved and you do not meet the reserve capacity requirements. The project team is currently in the process of testing a replacement for this message which will say the section is closed.

Reminder that positive service indicators are only available in the new system as this function wasnt available in the legacy system.

Co-requisites, although viewable within the prerequisite screen, are not being enforced.

The class search function within Campus Solutions will display a green button, meaning the section is open, even if all of the seats are being reserved thus not available. Also, the default search for this screen is Fall 1912. While you are able to select the term of your choice, we are researching ways to change the default to the current term.

There is a modification to the April 3 registration update in regards to the crosswalk between the section number and class number. An incorrect role was listed for the crosswalk, it should be UF_SR_CRSE_CATALOG_PUBLIC_VIEW.

Fall Schedule of Courses updates made in the legacy system are now being manually updated in Campus Solutions. This has caused a temporary backlog. We are working on making the updates as quickly as possible, initially focusing on the critical updates of section cancellations, department control and course cap alterations. These three elements are now up to date.

The prerequisite view in Campus Solutions isnt currently displaying all fields (number of credits, grade requirement, etc.). The COMPASS Team is working on a solution by creating a new view that will include all of the data.

It has been suggested that the staff view of class rolls should be improved. We are researching the options for improvement.

There are some cases where students arent able to view all of their service indicators, specifically immunization. This is being researched and we hope to have a resolution soon.

There are some differences for student groups between the legacy system and Campus Solutions due to the timing of the conversion. We are working on updating Campus Solutions to match what is in the legacy system.

Registration statuses on Quick Enroll/Enrollment Request of "Success" or "Messages" are both successful. When the system returns the status of "Messages," it is because the system did something automatically. Generally, during advance registration, the user will see this when enrolling students in courses that have a Writing Requirement. Also, advisors and department/college staff will see "Messages" when dropping a student after the drop/add deadline.

Registration tips for today!

The myUFL SIS prerequisite checking system has been synced with the current undergraduate and graduate catalogs. As a result, some prerequisites that were not previously enforced are now enforced. Course prerequisites may be verified via the Enrollment Requisite Summary. This is available in myUFL using the following navigation. Main Menu ? Student Information System ? Curriculum Management ? Department staff with the appropriate security may register a student for a course in their own department, prior to the students appointment time. To override a students appointment go to Main Menu > Student Information System > Records and Enrollment > Enroll Students > Quick Enroll a Student. Select a student by entering the UFID, career and term, and click add. Then select the General Overrides tab. Check the box under appointment and click submit.

To access a weekly view of a students schedule, in the Student Services Center, select the Weekly Schedule link. If you pick the first week of the term you wish to see, current or future, that term is what will display. Similarly, the start or end time can be changed as well. Student Information System > Campus Community > Student Services Center. Select a student by entering the UFID then select Weekly Schedule under This Weeks Schedule.

We have enhanced the granularity of the Weekly Schedule view within the Student Services Center to include schedules at 15 minute intervals rather than 60 minute intervals. The class meeting time is also included in each schedule display for your convenience.
